Nine things happen before the money lands.
A patient walks in. At the insurance desk, a case opens and the pre-auth goes out, mail arrives, bills grow, papers pile up, portals wait and settlements come back short. Scroll, and walk the case through the floor.
The marigold plate marks the step you are on.
01
Admission and pre-auth
Opens at admission, or from the approval letter or mail. Pre-auth papers are checked against the payer’s list, and the clock starts when the request goes in.
What we do differently
A dropped approval letter fills the case. A pre-auth past the payer’s limit is flagged while it can still be chased.
02
Approval mail in
Reads only a folder of known insurer senders and ties each mail to its case. Approvals record the amount; queries and denials move the pre-auth.
What we do differently
One folder of known senders, never the whole mailbox, and we never send. We don’t guess a match; unsure mail waits for a person.
03
Interim bill check
Reads the interim bill and raises an alert the moment it crosses the approved amount. The desk sends the enhancement as it does today.
What we do differently
Most desks find the overrun at discharge, when it is too late. We flag it while an enhancement can still go in.
04
Final bill in
The case joins today’s discharge queue, and the desk sees at a glance which papers are in and which are still missing.
What we do differently
Nobody sorts papers by hand. Every page is read and filed under its type the moment it is uploaded.
05
Discharge pack
Papers are checked against the insurer checklist with a live missing-items list, merged into one indexed PDF, and the discharge note is drafted.
What we do differently
Missing items show while you work, not after the insurer rejects. One indexed PDF replaces a stack of scans.
06
Fill the portal
A side panel fills the pre-auth, discharge or claim screen and attaches files in the desk’s own logged-in browser. Status pages are read, never changed.
What we do differently
No bot and no stored passwords. It fills inside the desk’s own session, and a person always presses Submit.
07
Query arrives
The query mail becomes a task. A reply is drafted covering every part of it, with the right documents attached and ICU lines highlighted.
What we do differently
Every part of the query gets an answer, with its source page beside each line. ICU lines always get a second look.
08
Settlement check
The settlement letter is matched to bill lines and the bank credit (UTR). Every cut is marked likely wrong or looks fair, with its source line.
What we do differently
Every cut is checked, not sampled, and tied to the bank credit. Each one carries a verdict and the line it came from.
09
Appeal
An appeal letter is drafted with evidence pages and tracked until the money lands, then added to the monthly report.
What we do differently
We follow the money until it lands, so the month ends with rupees recovered and a record of every appeal.
Patients home sooner. Money back where it belongs.
We prepare the pre-auth, build the discharge file, answer the insurer’s questions and check every payment. Your team only reviews and approves.
